The short version. We collect what you type into our contact form, and that's basically it. We don't sell your data, we don't run ad trackers, and as of today this website sets no tracking cookies at all. If you want out, email jp@pohlarsolutions.com and we'll delete you.
1. Who we are
POHLAR Solutions LLC ("POHLAR," "we," "us") is a New York limited liability company operating a marketing, AI automation, and growth consultancy based in New York, NY. We operate the website at pohlarsolutions.com.
For privacy purposes we are the data controller for information collected through this site. You can reach us any time at jp@pohlarsolutions.com.
2. What we collect
Information you give us directly
When you submit the discovery-call form on this site, we collect:
- Your name (required)
- Your email address (required)
- Your phone number (required)
- Your company name (optional)
- The service you're interested in, and a free-text field if you pick "Other"
- Your message describing your biggest current challenge (required)
- A timestamp of when you submitted, plus a technical anti-spam signal (how long the page was open before you submitted)
If you email, call, or text us directly, we keep that correspondence and whatever you choose to include in it.
Information collected automatically
Our hosting provider keeps standard server logs, which include your IP address, browser and device type, the pages you requested, and timestamps. This is normal web-server operation and is used for security, abuse prevention, and keeping the site online.
Because this site loads fonts, stylesheets, and one photograph from third-party networks (listed in section 5), those providers also receive your IP address and browser information as a technical necessity of delivering those files to you.
What we do NOT collect
- We do not collect payment-card information on this website.
- We do not collect government IDs, Social Security numbers, or financial account numbers through this website.
- We do not knowingly collect information from children (see section 10).
- We do not buy, sell, rent, or trade personal information. Ever.
- We do not run advertising pixels, behavioral retargeting, session recording, or cross-site tracking on this site.
3. Why we use it, and our legal basis
| What we do | Why | Legal basis (GDPR/UK GDPR) |
|---|---|---|
| Reply to your enquiry and schedule a discovery call | You asked us to contact you | Consent, and performance of a contract / steps prior to a contract |
| Contact you by email, phone, or text about the enquiry you submitted | It's how a discovery call gets arranged | Consent (you check the consent box on the form) |
| Keep a record of leads and client work | Running the business, invoicing, knowing who we've spoken to | Legitimate interests; legal obligation where records must be kept |
| Filter spam and abusive submissions | Keeping the form usable | Legitimate interests |
| Security, server logs, keeping the site online | Operating a website safely | Legitimate interests; legal obligation (data security) |
| Analytics, if and when we enable it | Understanding which pages are useful | Consent only — nothing loads until you opt in |
We will not use your information for a materially different purpose than the one you gave it for without telling you first.
4. Calls, texts, and emails from us
When you submit the form you are asking us to contact you, and you tick a box consenting to contact by email, phone call, and text message about your enquiry. To be specific about what that means:
- We contact you about the enquiry you submitted — scheduling your discovery call and following up on it.
- Consent to be contacted is not a condition of purchasing anything from us.
- We do not use autodialers or prerecorded voice messages. A human (usually Jared) is on the other end.
- Message and data rates may apply to texts. Reply STOP to any text to stop receiving them.
- Every marketing email we send includes a working one-click unsubscribe. Click it and you're off the list — we honor it promptly.
- You can withdraw consent at any time by replying STOP, clicking unsubscribe, or emailing jp@pohlarsolutions.com. Withdrawing consent doesn't affect processing that already happened.
5. Cookies and tracking technologies
Current status: this website sets no tracking cookies. We run no analytics, no advertising pixels, and no cross-site trackers. There is nothing to opt out of today.
Strictly necessary storage
If we ever ask you for cookie consent, we store your answer in your browser's local storage under the key pohlar_consent_v1. That single item exists only so we don't ask you the same question on every page. It is strictly necessary for the consent mechanism itself, contains no identifier, is never sent to us or to anyone else, and does not require your consent. You can clear it any time by clearing your browser's site data.
If we turn on analytics
We may later add privacy-respecting analytics to understand which pages are useful. If we do:
- A consent banner will appear before anything loads.
- Nothing non-essential runs until you actively click Accept. Declining is one click, on an equally prominent button — no tricks, no "legitimate interest" loophole, no cookie wall.
- If you do nothing, that counts as a decline.
- You can change or withdraw your choice whenever you like using the Cookie preferences link in the footer of every page.
- If your browser sends a Global Privacy Control signal or an equivalent opt-out preference signal, we treat it as a decline automatically and never ask.
- This policy will be updated to name the specific provider, the cookies used, and their lifetimes before any of it goes live.
Third-party services that load with this page
These providers receive your IP address and basic browser information because your browser has to connect to them to load the page. To our knowledge none of them set tracking cookies on this site, but they are independent controllers of the connection data they receive:
| Provider | What it does here | What it receives |
|---|---|---|
| Netlify | Hosts and serves this website | IP address, request logs |
| Google Fonts | Serves the typefaces | IP address, browser/OS info |
| Tailwind CSS CDN | Serves the stylesheet engine | IP address, browser/OS info |
| Unsplash | Serves the hero photograph | IP address, browser/OS info |
| Google Apps Script | Receives your form submission | Your form contents (only when you submit) |
6. Who we share information with
We do not sell or rent your personal information, and we do not "share" it for cross-context behavioral advertising as those terms are defined under California law. We disclose information only to the service providers we need to run the business, and only for that purpose:
| Service provider | What they process for us |
|---|---|
| Google (Apps Script, Sheets, Gmail) | Receives your form submission, stores it in our private leads spreadsheet, and sends both our internal notification and your confirmation email |
| Microsoft 365 | Hosts our jp@pohlarsolutions.com mailbox where your enquiry arrives |
| Netlify | Website hosting and server logs |
| Verizon (email-to-SMS gateway) | Delivers an internal text alert to Jared that a new lead came in. This alert includes your name and contact details so we can respond quickly. |
We may also disclose information (a) if legally required by subpoena, court order, or applicable law; (b) to protect our rights, safety, or property, or that of others; (c) to professional advisors such as accountants and lawyers under a duty of confidentiality; or (d) to a successor entity in connection with a merger, acquisition, or sale of assets — in which case we'll note it here.
7. International data transfers
We operate from the United States and our service providers are primarily US-based. If you contact us from the European Economic Area, the United Kingdom, or Switzerland, your information will be transferred to and processed in the United States, which has different data-protection laws than your home country.
Where required, these transfers rely on appropriate safeguards, including the European Commission's Standard Contractual Clauses incorporated into our providers' data-processing terms, and in some cases our providers' certification under the EU–US Data Privacy Framework. You may request details of the safeguards applicable to your data by emailing us.
8. How long we keep it
- Enquiries that don't become clients: up to 24 months from your last contact with us, then deleted.
- Client records: for the duration of our engagement, then up to 7 years where needed for tax, accounting, and legal-defense purposes.
- Server logs: short-term, per our hosting provider's retention schedule.
- Suppression lists: if you unsubscribe or ask not to be contacted, we keep the minimum record needed to honor that request indefinitely — that's the only way to guarantee we don't contact you again.
You can ask us to delete your information sooner at any time, and we will unless we're legally required to keep it.
9. How we protect it
We maintain reasonable administrative, technical, and physical safeguards appropriate to the sensitivity of the information we hold, as required by the New York SHIELD Act and comparable laws. In practice that means: the site is served over HTTPS with a valid TLS certificate; our leads spreadsheet and mailboxes are access-restricted to accounts protected by strong authentication; access is limited to people who need it to do the work; and we keep the data footprint deliberately small.
No method of transmission or storage is perfectly secure, and we can't guarantee absolute security. If a breach affects your personal information, we will notify you and any required regulators as the law requires. Please don't send sensitive information — passwords, card numbers, health information — through the contact form.
10. Children's privacy
This site and our services are for businesses and the adults who run them. They are not directed to children. We do not knowingly collect personal information from anyone under 16. If you believe a child has given us information, email jp@pohlarsolutions.com and we will delete it.
11. Your rights
Whatever jurisdiction you're in, you can email jp@pohlarsolutions.com and ask us to show you, correct, or delete what we hold about you. We'll do it. The rest of this section spells out the formal versions of that right.
If you're in the EEA, UK, or Switzerland (GDPR / UK GDPR)
You have the right to: access your data; rectify inaccurate data; erase your data; restrict processing; object to processing based on legitimate interests and to direct marketing at any time; receive your data in a portable format (data portability); and withdraw consent at any time where we rely on it. You also have the right to lodge a complaint with your national data-protection authority — though we'd appreciate the chance to fix it first.
We do not make decisions about you based solely on automated processing that produce legal or similarly significant effects.
If you're in California (CCPA / CPRA)
You have the right to know what personal information we collect, use, and disclose; to delete it; to correct it; to opt out of sale or sharing for cross-context behavioral advertising; to limit use of sensitive personal information; and to not be discriminated against for exercising any of these rights.
To be clear about our practices: we do not sell your personal information, and we do not share it for cross-context behavioral advertising. We have not done so in the preceding 12 months, including for consumers we know to be under 16. We do not collect sensitive personal information through this website. The categories we collect are identifiers (name, email, phone), commercial information (the service you're interested in), and internet activity limited to server logs — all as described in section 2, collected directly from you, for the business purposes in section 3.
You may use an authorized agent to submit a request; we may ask for proof of authorization and verify your identity before acting.
Other US states
If you live in a state with a comprehensive consumer privacy law — including Colorado, Connecticut, Virginia, Utah, Texas, Oregon, Montana, and others as they take effect — you have broadly similar rights to access, correct, delete, and obtain a copy of your personal data, and to opt out of targeted advertising, sale, and certain profiling. We don't engage in targeted advertising, sale, or profiling. Email us to exercise anything listed here.
How to exercise your rights
Email jp@pohlarsolutions.com with the subject line "Privacy Request." Tell us what you want and give us enough information to find your records — ordinarily the email address or phone number you submitted. We will verify your identity by replying to the contact details already in our records.
We respond within 30 days (GDPR: one month, extendable by two further months for complex requests, with notice; California: 45 days, extendable once by 45 days, with notice). Exercising these rights is free — we don't charge and we don't penalize you for it.
12. Opt-out preference signals
We honor the Global Privacy Control (GPC) signal. If your browser or extension transmits GPC, we treat it as a valid request to opt out of sale and sharing, and as a decline of any non-essential cookies — automatically, without asking you anything.
13. Links to other sites
This site may link to third-party websites or scheduling tools we don't control. Their privacy practices are their own. We're not responsible for them, and we'd encourage you to read their policies before handing over information.
14. Changes to this policy
We'll update this policy when our practices change — notably before we enable any analytics or advertising technology. The "Last updated" date at the top always reflects the current version. If we make a material change to how we use information you've already given us, we'll take reasonable steps to notify you directly, such as emailing the address we have on file. Continuing to use the site after an update means you accept the revised policy.
